New ID Checks at Companies House – What You Need to Know

From autumn 2025, Companies House is bringing in a new requirement: people involved in running UK companies will need to verify their identity. It’s all part of a wider plan to make company ownership more transparent and to reduce fraud.

If you’re a director, a person with significant control, or someone who manages company filings, this change is something to be aware of. But don’t worry – the process is expected to be straightforward. Here’s a simple overview of what’s coming, who it affects, and how it works.

Why are these checks being introduced?

The idea is to make the Companies House register more reliable and secure. Verifying identities helps stop people using companies for illegal or dishonest purposes, like fraud or money laundering.

These checks are part of the Economic Crime and Corporate Transparency Act, which was brought in to help clean up the way companies operate and give more confidence to everyone using the register – whether it’s business owners, suppliers, lenders, or the public.

Who needs to verify their identity?

The new rules will apply to:

  • Directors of UK companies
  • People with Significant Control (PSCs) – for example, anyone owning more than 25% of shares or voting rights
  • Company secretaries (where appointed)
  • Authorised agents who file information on behalf of companies, such as accountants or solicitors

If you fall into one of these categories, you’ll need to complete the ID check. It’s expected to be a one-time process unless your role changes or you’re asked to reconfirm later.

When do I need to do it?

If you’re already in one of these roles, you won’t need to verify immediately – there’ll be a transition period. Most existing directors and PSCs will be expected to verify their identity in line with their company’s next confirmation statement after the rules come in.

If you’re taking on a new role (e.g. becoming a director), you’ll need to complete the check as part of your appointment.

How do I verify my identity?

There are a few options, depending on what suits you best:

  1. Online through GOV.UK One Login – This will be the most common route. You’ll need a passport, driving licence or similar photo ID.
  2. In person at a Post Office – For anyone who can’t verify online, a face-to-face option will be available at designated branches.
  3. Through your accountant or another authorised agent – If you work with a registered agent (like us at PaperRocket), we may be able to verify your identity on your behalf, using the same secure checks.

Once verified, you’ll be given a unique Companies House identifier that links you to your company roles.

What happens if I don’t verify?

If you don’t verify when required, you won’t be able to take up or continue certain roles, and it may delay company filings or trigger compliance issues. In some cases, there could be penalties or restrictions.

While this is a new step, it’s not something to worry about. The aim is to improve trust and accountability, and the process itself should be fairly quick and simple for most people.
